Key Responsibilities:
  • Patient Interaction and Communication:
    • Serve as the initial point of contact for veterans, answering inquiries, providing information, and guiding them through the healthcare process.
    • Assist veterans in scheduling, rescheduling, and canceling appointments, ensuring all necessary information is accurately captured and communicated.
    • Communicate with veterans regarding appointment reminders, follow-up care instructions, and other relevant information.
    • Coordinate with clinical staff to resolve patient concerns or issues related to scheduling, eligibility, or access to care.
  • Appointment Scheduling and Coordination:
    • Schedule patient appointments, diagnostic tests, and consultations, ensuring that all necessary pre-appointment requirements are met.
    • Manage and maintain provider schedules, optimizing appointment availability and ensuring that patients are scheduled appropriately.
    • Coordinate care across multiple services and departments, ensuring seamless transitions and communication between different areas of care.
    • Monitor and manage appointment waitlists, ensuring timely access to care for veterans.
  • Medical Records Management:
    • Ensure that all patient records are accurately updated and maintained in the electronic health record (EHR) system.
    • Process and manage requests for medical records, ensuring that all privacy and security protocols are strictly followed (e.g., HIPAA compliance).
    • Assist in the management and transfer of medical records between VA facilities and external healthcare providers.
    • Verify and update patient demographic information, insurance details, and other relevant data as needed.
  • Administrative Support:
    • Perform general clerical duties, including filing, faxing, scanning, and copying documents.
    • Prepare and distribute correspondence, reports, and other documents as requested by healthcare providers or administrative staff.
    • Assist in the management of office supplies and inventory, ensuring that necessary materials are available when needed.
    • Provide support in managing incoming and outgoing mail, including processing and distributing faxes and packages.
  • Data Entry and Documentation:
    • Enter patient data into the EHR system, ensuring accuracy and completeness of all information.
    • Document patient interactions, appointment details, and other relevant information in the EHR system.
    • Generate reports and summaries as needed to support healthcare operations and decision-making.
  • Team Collaboration and Support:
    • Work closely with healthcare providers, nurses, and other administrative staff to ensure that all aspects of patient care are coordinated and efficient.
    • Participate in team meetings, providing input on administrative processes and identifying areas for improvement.
    • Assist in training and onboarding new MSAs and other administrative staff as needed.
  • Compliance and Quality Assurance:
    • Adhere to all VA policies, procedures, and regulations, ensuring that all administrative activities are conducted in compliance with federal laws and standards.
    • Participate in quality improvement initiatives, identifying opportunities to enhance the efficiency and effectiveness of administrative processes.
    • Maintain confidentiality and security of patient information at all times.
Qualifications:
  • Education: Bachelor's degree or equivalent required. Additional coursework or certification in medical administration or a related field is preferred.
  • Experience: Previous experience in a medical or healthcare administrative role, particularly within the VA or a similar healthcare setting, is highly desirable.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in using electronic health record (EHR) systems and other office software (e.g., Microsoft Office Suite).
    • Attention to detail and accuracy in data entry and record keeping.
    • Ability to work effectively as part of a team and independently.
    • Knowledge of medical terminology and VA-specific processes is a plus.
